Position Overview
The School Bus Compliance Coordinator oversees and ensures full compliance with all federal, state, and local regulations related to student transportation. This role is responsible for monitoring driver qualifications, vehicle inspections, training requirements, safety protocols, and documentation to maintain a safe, efficient, and compliant school transportation operation.
Key Responsibilites
Regulatory Compliance & Safety Oversight
Ensure all school bus operations comply with state Department of Education and Department of Transportation (DOT) regulations.
Maintain up-to-date knowledge of transportation laws, licensing requirements, and safety guidelines.
Monitor driver credentialing, including CDL licenses, medical cards, background checks, drug/alcohol testing, and required endorsements.
Oversee mandatory safety training, annual refresher training, and certification requirements for drivers and aides.
Documentation & Recordkeeping
Maintain accurate records of driver files, training logs, accident reports, route documentation, and inspection records.
Ensure all buses meet inspection schedules and that maintenance documentation is maintained properly.
Prepare compliance reports for audits, state reviews, and internal evaluations.
Track expiration dates for licenses, permits, and certifications, notifying staff of renewal requirements.
Training & Support
Coordinate training programs in areas such as passenger safety, emergency evacuation, first aid, behavior management, and defensive driving.
Assist with onboarding new drivers and transportation staff.
Provide coaching or retraining for drivers and aides as needed to maintain compliance.
Support transportation staff in understanding policies, procedures, and compliance standards.
Operational Oversight
Conduct periodic ride-alongs, route evaluations, and safety audits.
Monitor and enforce compliance with route times, student pick-up procedures, and school policies.
Investigate safety violations, complaints, or incidents and implement corrective actions.
Work closely with maintenance staff to ensure vehicles remain safe and operational.
Communication & Coordination
Serve as the primary point of contact between transportation staff and school administration regarding compliance matters.
Communicate updates on regulations, procedures, and policy changes to drivers, aides, and supervisors.
Coordinate with state inspectors, auditors, and licensing agencies.
Maintain professionalism when communicating with parents, school staff, and the community.
Qualifications & Requirements
High school diploma required; associate or bachelor’s degree preferred.
Experience in school transportation, fleet management, or compliance administration strongly preferred.
Knowledge of state and federal school bus regulations.
Strong organizational and recordkeeping skills.
Ability to handle confidential information.
Excellent communication and leadership abilities.
Proficiency with computer systems, spreadsheets, and compliance software.
Preferred Skills
CDL with school bus and passenger endorsements (preferred but not required).
Experience conducting training or safety meetings.
Familiarity with DOT and OSHA regulations.
Strong problem-solving and audit skills.
Work Environment
Office, transportation facility, and on-road inspections.
Requires occasional early mornings, route checks, or after-hours compliance tasks.
May involve exposure to outdoor weather, noise, and active vehicle areas.
